Summary:

Manage export administration and documentation process. Provide commercial support for new business development activities. Administer routine activities in support of international accounts. Review and process general international inquiries.

Essential Duties and Responsibilities

International Customer-Specific Inquiries:

Respond to international customer inquiries regarding pricing and general company and product information. Communicate with Business Development Manager regarding pricing recommendations, non-standard inquiries, and technical issues. Prepare quotations. Obtain current freight rates from freight forwarders. Work with production and finishing departments to determine optimum container loading.

Order Processing:

Facilitate the order entry process by identifying international customers' product delivery needs and by working with mill scheduling to secure production dates. Ensure accuracy in the data entry process. Effectively use SAP and other computer systems for order entry and other order processing activities. Monitor status of order.

Documentation:

Prepare and review all export documentation for accuracy and compliance with applicable laws and country-specific guidelines prior to shipping and release of final documents. Serve as main contact with banks for general issues regarding shipments against Letters of Credit.

Administrative:

Maintain accurate and up-to-date files for international orders and inquiries. Understand complaint issues. Manage the documentation process, from inquiry to order and delivery, ensuring accuracy and customer satisfaction. Demonstrate knowledge and proficiency in extracting data from systems for reporting purposes for better decision-making in support of the Business Development Manager. Interact with technical departments to obtain certificates of analysis and product data sheets. Request product samples and send to customers. Ensure all necessary packaging and label requirements are met. Complete internal documents.

Communications:

Proactively communicate order-related issues to international customers and to the Business Development Manager. Effectively resolve controversial service issues in a positive and professional manner representative of a world class global supplier. Understand and communicate the service expectations of international customers. Process daily e-mail inquiries to the Company website.

International customer focus, understanding of the customer service and logistics process as it relates to export (developed through at least three years of full-time experience). Professional interpersonal skills, stress tolerance, flexibility and ability to multi-task, attention to detail, and strong organizational skills.

Education/Experience:


Bachelor's Degree (B. A.) from four year college or university preferred; minimum of three years experience in each of these areas: export documentation, export logistics (including ocean freight), shipments against Letters of Credit, and transactions involving Incoterms.

Language Ability:


Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability:


Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:


Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. Ability to define problems, collect data, establish facts, and draw valid conclusions.
